The Executive Assistant to the CEO will provide high-level administrative support, ensuring efficient operation of the Executive Office. The ideal candidate will be organized, proactive, discreet, and able to handle a wide range of administrative and executive support tasks in a fast-paced environment. As the Executive Assistant to the CEO, you will provide support to the CEO, acting with little supervision, anticipating needs while managing the CEO’s day‐to‐day workflow, filtering and prioritizing various projects and activities, which includes scheduling, Business Development, researching, preparing materials and presentation for meetings, and participating in a wide range of special projects where and when applicable.

Responsibilities:

  • Act as an executive’s right hand, performing essential and diverse tasks on time to keep executives on top of their work and organized, thereby enhancing overall business efficiency
  • Prepare and format internal and external documents, such as financial statements, reports, memos, presentations, and invoice letters to be approved and used by executives as needed
  • Liaise among executives, other staff, external partners, customers, and clients and greet visitors
  • Manage an executive’s calendar; schedule appointments & meetings; help executives prepare for them by conducting research and gathering data; take detailed minutes of the meetings
  • Assist with research, data analysis, and preparation of briefing materials and reports.
  • Make travel and accommodation reservations for executives
  • Organize and coordinate executive outreach and external relations efforts.
  • Oversee special projects and ensure timely completion.
  • Assist in planning and execution of corporate events, board meetings, and executive off sites.
  • Liaise with senior management, board members, partners, and clients as needed.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Perform basic bookkeeping; track and calculate expenses to generate weekly, monthly, and quarterly financial reports
  • Organize corporate events outside work premises, such as fundraisers, staff appreciation, and sports get-togethers.
  • The Executive Assistant is responsible for managing projects for the organization.
